Appointments and Scheduling
We have devoted considerable time and effort into designing our scheduling system so that it is a win/win situation for our patients and our practice. We value your time both as a parent and a patient and make every effort to stay on schedule.
Many people seeking orthodontic treatment have other important obligations during the day. Most of our patients are of school age and many of our adult patients work. Consequently, nearly all of our patients desire after school or evening appointments. It is physically impossible, however, to see all of our patients during “Prime Time” (after school and evenings). Although we make every effort to have convenient appointment times, it is unavoidable that some school, work or extracurricular activities may be missed during a course of orthodontic treatment.
Our scheduling goals for treatment are:
- To see every patient on time
- To have adequate time to
perform necessary procedures scheduled that day
- To answer any questions you may
have and update your treatment progress
- To complete your treatment on schedule
It is important that you are aware of these appointment reminders:
- Patients are seen in order of
scheduled appointment time, not in order of arrival.
- Late arrivals may result in
rescheduling due to our carefully arranged schedule.
- If you cannot keep an
appointment, please call the office at least 24 hours in advance.
- Missed appointments or same day
cancellations, may require waiting 4-8 weeks to reschedule since this
is our normal rotation. Missed appointments or numerous changes
definitely extend treatment time and may result in damage to the teeth
and gums due to a lack of supervision of the braces and associated
tooth movement.
- With modern orthodontic
appliances, many orthodontic adjustments are accomplished in a
blissfully short visit even when the adjustment made is highly
technical.
- Complex procedures requiring longer appointments are scheduled prior to 3:00 p.m. These include the initial placement of braces, bands and most appliances, the removal of braces, impressions for all appliances and all repairs including broken brackets and loose bands.
After Hours Phone Coverage
If you experience orthodontic difficulty when our office is closed, call our office and the voice mail will provide directions to reach a staff member. Generally, one of our staff members is available via cell phone for emergency type (pain, swelling or bleeding) situations only. After hours, patients will be seen if they are in pain or have an unusual circumstance not amenable to relief via phone instructions.

Orthodontic Insurance
We are pleased to assist you in obtaining the orthodontic benefits to which you may be entitled by your employer. Orthodontic claims processing is different than medical or dental processing and can be quite cumbersome. At times the paperwork can be overwhelming! Despite this, unlike many specialists, we still file primary insurance claims and accept assignment. We are happy to provide this service for our patients, however, we need your ongoing cooperation. Claims submitted to the primary insurance company are filed at no cost to you. If it becomes necessary to submit claims to more than one company (i.e. secondary insurance, change in provider), there is a nominal processing fee of $40.
There are hundreds of insurance companies and a variety of ways in which orthodontic claims are paid. Most insurance carriers provide 50% coverage of orthodontic fees up to a lifetime maximum, usually ranging between $1,000 and $2,000. Oftentimes, your initial down payment is reimbursed at 50% and the remainder is paid in monthly or quarterly installments over the treatment period. Some companies divide the total benefit by the treatment period and pay quarterly with no lump sum in the beginning. Rarely is the entire orthodontic benefit paid at one time. Consequently, you must remain eligible for insurance during the entire treatment in order to receive the maximum benefit.
Important Note: If your employer is changing insurance carriers or you plan to change jobs, please discuss how this will impact your orthodontic benefits with our treatment coordinator and with your benefits/human resources manager.
If you lose your insurance, change jobs, or your employer changes providers, please notify us immediately so that we may file claims before it is too late.
All fees are the ultimate responsibility of the individual patient or family, not the insurance company. Financial assistance from an insurance plan could terminate at any time for any number of reasons. Services not covered by insurance are dictated by the type of plan chosen by the employer and in no way reflect the necessity of treatment. Any services not covered by your insurance are your responsibility.
